We are seeking a talented Contract Administrator and QA Specialist to join our team either in Frankfurt, Germany or in Cluj-Napoca, Romania.

Your responsibilities:

Contract Administration

· Overseeing the contract storage tool; organising and archiving contracts

· Serving as the central point of contact for internal customers regarding contract submissions and storage

· Collaborating with IT specialists to enhance the storage tool and resolve IT issues

Quality Assurance involving process, document, and data management

· Coordinating the Ascom Document Management System including system administration and user support

· Supporting users and document owners with training, issue solving and improvements

· Monitoring DMS and document status and providing regular communication

· Maintaining DMS compliance with updated templates, coordinating change management, and validation

Projects and continuous development

· Supporting project owners and managing sub-projects

· Developing trainings for documentation, supporting distribution, and reporting on status

· Conducting workshops on legal contract storage and QA documentation

· Following up on KPI objectives

· Managing interfaces to related IT-systems

Your Qualifications:

· At least 3 years of experience in the described tasks and responsibilities, particularly in contract work (preferably experience in a law firm)

· Proficient in regulatory framework requirements (e.g. documentation and validation)

· Excellent proficiency in Microsoft Office

· Fluent in spoken and written English (additional languages such as German are an advantage)

· Strong focus on customer service

· Collaborative with robust interpersonal skills and a proactive attitude

· Analytical skills

· Strong communicator, approachable, attentive, and supportive

· Ability to remain composed and perform under pressure
