Are you a people person?  Do you like working with the public? The Administrative/Training Coordinator position represents the company professionally projecting a first-in-class image and performs a variety of administrative, training coordination and tasks to support management, training team, staff and company business activities.

Your days will be filled with…

  • Create and maintain internal databases, including informational and telephone directory. 
  • Coordinate and provide support for company meetings and functions.    
  • Provide assistance on travel arrangements for the managing director and leadership team, including expense reporting 
  • Arrange facilities, hotel accommodations, transportation and meals for business activities  
  • Coordinate training enrollment, scheduling, billing and facility access for all courses, both local and remote, as well as internal training courses.
  • Maintain course catalog and on-line publications (schedule, enrollment forms, course catalog, certification tracks)
  • Manage the Ascom Learning Management System (e-Learning) for the US portal
  • Create and maintain training documents and visuals, including Instructor Led material as well as SCORM compliant e-Learning
  • Maintain Training Database of students/courses
  • Assist instructors with logistics, planning, class preparation, class activities and course content. 
  • Creating and updating reports and PowerPoint presentation as requested.
  • Receive visitors/answer telephones and direct callers; take and retrieve messages and screen calls when requested 
  • Perform clerical duties to include filing company documents and reports, creating labels and files, copying and faxing documents 
  • Order and maintain kitchen breakroom supplies and general office supplies 
  • Maintain security badge system and Cell Phone distribution for new hires in conjunction with Human Resources 
  • Retrieve, sort and distribute mail to staff and prepare outgoing mail and packages to include customer invoices and statements 
  • Perform company errands as requested 
  • Keep lobby area, conference rooms, copier/supply room, kitchens and employee lounge area clean, organized and attractive 
  • Assist and manage our company’s general office needs and other administrative, ad-hoc projects and other duties as assigned. 
  • Maintain confidentiality of all company business and proprietary activities.

We are looking for someone who has.....

  • Bachelor’s Degree or 3 years of related administrative work experience.
  • Strong computer skills with knowledge in MS Office programs (Word, Excel, Outlook, PowerPoint)
  • Excellent written and oral communication skills.
  • Flexibility and willingness to handle a variety of administrative and logistical details.

And you are…

An experienced Administrative person with at least 3 years of experience or have a bachelors degree you could succeed in this role. Strong computer skills with knowledge in MS Office programs (Word, Excel, Outlook and PowerPoint).
